Engineering Case Study
Creating Client Instructions and an Audit Trail
The Problem
Clients lacked usable instructions, and the team had no durable history of project decisions, changes, or communication.
Constraints
The system had to work for existing clients and remain practical enough for the team to maintain.
Approach
I introduced client-facing instructions alongside an audit trail documenting project history and decisions.
Outcome
Clients gained clearer control of their sites, while the team gained organizational memory instead of relying on recollection.
Looking Back
The maintenance requirement was the real constraint. Documentation that is too elaborate becomes another abandoned system, so the process had to fit the work already happening.
Perspectives
Julie: The same documentation served two audiences: the client trying to act now and the team trying to understand later.
Harbor: An audit trail converts memory into continuity.
Engineering Principles
- Documentation should help the client act and help the team reconstruct what happened.
